Structuring Workgroup Teams to Support Three-Year Plans

The Challenge

The challenge for MACC was how to restructure key areas of the workgroup teams to increase support, communication, and efficiency. MACC gathered specific questions for consideration in revising the workgroup teams during the 2019-2022 three-year planning consortium retreats, workgroup team chairs debriefing meeting and the Official Representatives meetings. Considerations:
How can we establish consistency in meetings (e.g. levels of engagement, agendas, meeting minutes, etc.)?
How can the MACC Official Representatives provide consistent feedback and support to the workgroup teams (two-way conversations)?
How will the workgroup teams establish goals with measurable objectives?
How can we track progress to determine the impact?

The Solution

To address the need to increase support, communication and enhance the overall outcomes of the workgroup teams, the chair/co-chair and members developed a process with clear steps and procedures for facilitating the regional workgroup teams (e.g. Data & Accountability, ESL, Basic Skills, Outreach & Marketing, Adults with Disabilities, Seamless Transition).

1) Establish the workgroup team mission based on the outlines provided in the three-year plan
2) Review the MACC three-year plan six overarching strategic goals
3) Identify a focus area (s) based on the strategic goals
4) Develop SMART goals and activities
5) Follow the revised workgroup team communication structure.


As a result, MACC revised the workgroup teams communication structure for 2019-20:

•Each workgroup team chair/co-chair will make a foundational presentation of annual smart goal(s) to the Official Voting Representatives on November 5, 2019.

•Follow-up progress reports (e.g. workgroup team meeting minutes) will be shared via a Google Doc link to the Official Voting Representatives.

•Chair/Co-Chair will also share progress (face to face or via zoom) once a quarter (4 times a year) at Official Voting Representatives meetings.

•Chair/Co-Chair end of year assessment/report out of accomplishments will take place during the Official Voting Representatives meeting in June 2020.

The Data

Each workgroup team will have SMART goals with measurable progress indicators aligned with the MACC 2019-2022 three-year plan which will be assessed at the end of each academic year.

The workgroup teams outcomes and Information will also be utilized and disseminated through regional professional development opportunities such as a "Data Day" event hosted by the Data & Accountability workgroup team for adult education teachers/staff on how to run (disaggregated) reports and analyzing program area data, using state and local databases (i.e. ASAP, launch board, TOPSPro, Community Pro Suite, labor market data, student success metrics, etc.) as a part of MACC's continuous student improvement efforts.
